Large organisation identifies $391k a year in Dynamics 365 savings

An organisation with around 1,400 staff knew some of its Dynamics 365 licences weren't right. Subble identified $391k a year in savings across Dynamics 365 Finance and Operations and Dynamics 365 Sales.

Checking licences against each person's access

The organisation runs Microsoft 365, Dynamics 365 Finance and Operations, and Dynamics 365 Sales. Before connecting Subble, it was already running Flexera and had used it to audit licences. The customer knew some licences weren't right, but didn't have a way to check each person's licence against their security roles.

Where Subble found the savings

Subble identified $391k a year in Dynamics 365 savings from unused licences and people paying for more access than they needed. None of these findings had been identified in the organisation's prior Flexera audit. The Dynamics 365 recommendations account for 81% of the $480k a year in savings identified across Microsoft 365, Dynamics 365 and Adobe.

131 people can move to cheaper licences

Subble identified 131 people whose security roles show they need only Operations Activity or Team Members. Most can move from Finance to Operations Activity, which costs about a quarter as much. Of those, 110 also use a Sales attach licence (an add on licence) tied to their Finance and Operations licence. When they move to the cheaper base licence, they need standalone Sales Enterprise to replace Sales attach.

Paired stacked bars compare current and proposed monthly licence bundle costs, with each group's current cost set to 100%. All three groups can move to Operations Activity or Team Members. The 110 people who use Sales attach need standalone Sales Enterprise instead, with $34k a year in identified downgrade savings. The 12 people with unused Sales attach licences have $24k a year in identified downgrade savings; their proposed bar also reflects removing unused Sales attach licences, whose savings are counted separately under inactive licences. The nine people without Sales attach have $21k a year in identified downgrade savings. The $79k total includes removing 15 Supply Chain Management and Retail attach licences. These are recommended changes.

Unassigned licences

Subble also identified $101k a year in savings from 118 licences the organisation had bought but hadn't assigned.

Subble keeps checking as licence needs change

Subble keeps checking as people's roles change, people leave or licences stop being used. A licence that's no longer needed shows up straight away rather than at the next renewal.

“We were told we needed more licences and now we can see that no, we didn't. Seeing it in front of us is great because there was no transparency with the data.”
